REFUND/CANCELLATION POLICY:
A valid credit card or debit card is required to guarantee and pay for your reservation. There will be a $50 cancellation fee for all parties or events canceled after payment is received (15 or more days prior to the event).  NO REFUND in the event of reservation being canceled within 14 days of your event. We will make every effort to postpone your event once (with no penalty) to another date within one year from the original booking date should cancellation be necessary.

OUR TRUCK/TRAILER:
When the truck pulls up, we will try to park in the most level, flat area or logical spot to accommodate your party.  Sometimes, we park on your neighborhood street, so you may want to let your neighbors know (in case they object) or let us know if you have a preferred spot for us. We may also have to block a driveway.  Please keep in mind that our Game Coach will not park anywhere that may cause a danger to persons, property or equipment. Our truck and trailer combination is very long and we will need a minimum of 45 – 55 feet of space  or about 8-10 parking spaces to park.  Additionally, our Game Coach will never disconnect the truck from the trailer or park off of a hardened surface.

PARKING:
It is YOUR responsibility to make sure the agreed upon parking area is clear of cars and other barriers prior to our arrival to make sure your party is started on time. We will not be able to extend the party if we have to start late due to the unavailability of parking for the trailer.

FORT NITE OR OTHER ONLINE GAMES:
If Fort Nite or other online games are selected, we will need to be parked close enough to your location to plug our 200 ft Ethernet cable directly into your home router. It is preferred that the party host plugs into the outlet as our employees are not allowed in customer homes. If the customer would like assistance, they will accompany our employee and remain with them while they hook up the router. While we will make every attempt to plug and play from your internet, there may be a chance it does not work. While we frequently play Fort Nite on our trailers, there may be an issue with the settings or restrictions on your router that may prevent this. If so, we will refund the additional fee paid for this Service. We are not responsible for connection issues. The inability to secure internet access does not void the party.

HOLIDAY POLICY:
XCITE Mobile Gaming Charlotte is closed most holidays.  If an exception is made, the holiday fee is an additional $75 per hour.  Super bowl parties are also an additional $75 per hour.

PRIVACY POLICY:
XCITE Mobile Gaming Charlotte is committed to protecting your privacy.  We use the information we collect on the site to make bookings as simple as possible and to enhance your overall experience.  We do not sell, trade, or rent your personal information to others.

TIPS:
The Game Coach is there to make sure that your group is making the most of our high-tech fun. He tutors, inspires and entertains.  Tipping for good service is a great idea, but not required.

TRAVEL SURCHARGE:
Our primary service area is a 30-mile radius from 30 -mile radius from 3151 Dallas High Shoals Hwy, Dallas, NC. We also service a “secondary” area outside of our primary area, but we must add a fuel surcharge fee when we travel to the secondary area.

BAD WEATHER:
XCITE Mobile Gaming Charlotte trailer was designed for all types of weather conditions.  The theater is insulated and climate controlled with heat and air conditioning.  There may be occasions when the weather does not want to cooperate with your scheduled party.  In the event of severe weather (lightning, very high winds, flooding and or extremely heavy rains, snow or ice) we reserve the right to reschedule your service to guarantee the safety of you, your guests, our staff and equipment. If the threat of these storms (pending or anticipated snow storm, tropical storm or hurricane) threatens your party and you are aware in advance please contact us to begin the rescheduling.

SUPERVISED CHILDREN:
XCITE Mobile Gaming Charlotte does require a parent or responsible adult to be present inside or just outside of the trailer at all times.  Parties with guests under age 16 require a parent or guardian be on property and within contact of the game coach should a need to contact them arise.  Children 5 and under are not allowed on the truck.  Children who are ALMOST 6 are NOT allowed on the truck.  In every situation where games were deleted, settings were changed or games were reset to factory settings it was always a child under the age of 6 years old.  If the game coach is lied to about a child’s age, the game coach reserves the right to terminate the party immediately, NO REFUND.  Please be honest with us.

ALCOHOL/DRUGS:
You may serve alcohol at your event or party; however, we reserve the right to refuse, cancel or cut short any party or booking when alcohol is being served. Drugs of any sort will not be tolerated in or around the XCITE Mobile Gaming Charlotte equipment. Any observed use of illegal narcotics or legal narcotics used in an illegal manner will result in the termination of the party immediately.

DAMAGE/INJURY:
XCITE  Mobile Gaming Charlotte or any of its employees will not be responsible for any damage to property resulting from a request by the client to position the theater in a specific location.  This includes both above ground and below ground property or equipment damage.  Additionally, XCITE Mobile Gaming Charlotte reserves the right to charge the client’s credit card for damages to the trailer or equipment resulting from the careless or willful damage of same by client’s guests.  XCITE Mobile Gaming Charlotte or its employees assume no responsibility for any injuries sustained on the clients property or their designated location.  All liability for damages or injuries is the sole responsibility of the client and or host.

FOOD/DRINK:
XCITE Mobile Gaming Charlotte does not allow any food or drinks into the video game theater.  Please have your guests consume them outside of the trailer prior to entering.

All Parties that are booked or run after 10pm will be an additional $75 per hour.

VIDEO GAME RATINGS:
XCITE Mobile Gaming Charlotte will not play any “M” rated or higher game in the video game theater without a request from the client prior to the party or event.  Adult approval at the time of the event is required.  If you wish to have an “M” rated game or higher at your party or event, please contact us indicating the game you prefer or let the Game Coach know as soon as you can after he gets there.

By Submitting Payment, you agree to these terms.  If you initially pay only the deposit, the final payment is due no later than 3 days prior to the scheduled party.

 

Game Truck FAQs

QUESTION: How do I do this? How do I look into booking a party?
ANSWER: Use our “Check Availability/Book Now” page and send in your date time and we’ll respond letting you know if it is available. Just confirm and pay and you’re all set!

QUESTION: How do I know if the trailer can come to my house?
ANSWER: We need a a flat, concrete area that is at least length of about 45-55 feet or 8 to 10 parking spaces.  We do not park on grass nor unhitch the truck from the trailer.   We need to be able to easily enter and exit as we have parties throughout the day so we have to be able to leave immediately.  The truck and trailer moves much different than a fed ex truck or RV which is all one piece.  If parking will be an issue, you can divert us to a nearby park, church or parking lot!  (Be sure to get approval first!)

QUESTION: Will the kids know what to do?
ANSWER: That’s why we bring our Game Coach! He/She helps the kids along, inspires and instructs. We make sure it’s the party of the year!

QUESTION: Should I be concerned about the types of games for kids?
ANSWER: If you have such concerns, inform the Game Coach upon arrival and he/she will make sure that the gaming is appropriate. Otherwise, he/she will follow the lead of the guest(s) of honor and make sure they are having the time of their lives!

QUESTION: What about bad weather?
ANSWER: If it is safe for us to drive, we come rain, snow, sunshine, temps below freezing or over 100 degrees — we are climate controlled!

QUESTION: What time should I make the party?
ANSWER: We suggest that you tell your guests that the party is one hour or half-hour before our arrival time — that way they eat first & they all see the grand arrival of our mobile video game theater!

QUESTION: What if too many people show up to the party? Is there an extra charge?
ANSWER: No extra charge! Our game theater holds approximately 28+.  20 guests can play on 5 gaming stations inside.  Weather permitting, up to 8 more can play outside on 2 additional gaming stations. The party will be held in a festival style format where the guests will take turns and game changes will be on internals.

QUESTION: Do I request certain games?
ANSWER: We always bring the full game library to every event and your Game Coach will listen to and make suggestions to make your event successful. You can let the Game Coach know your wishes regarding game ratings and which games are to be played.

QUESTION: Do I tip the Game Coach?
ANSWER: The Game Coach is there to make sure that your group is making the most of our high-tech fun. He/she tutors, inspires and entertains. Tipping for service is a great idea, but not required.

QUESTION: Do I have to pay for the party in advance?
ANSWER: Our reservations go quickly. In order to hold your booking, you must pay on line or arrange to drop your payment with us. Otherwise, your date and time is still open for booking by others. Please contact us to discuss if your organization or situation is an exception and we can talk about options.

QUESTION: How do the invitations work?
ANSWER: You can save the invitations from our website and print for FREE!

QUESTION: What time will you be arriving?
ANSWER: The Game Coach arrives in plenty of time to be setup and start your party at the designated start time. Normally between 10-20 minutes ahead of time.

QUESTION: How can my organization raise funds through xCite Mobile Gaming Charlotte?
ANSWER: If a school, church or non-profit hands out our flyer and a party is booked as a result, the organization receives $20 cash back for fundraising. We will print the half-page, full color flyers and drop them off; all you have do is distribute them! No cost, no risk, no selling cookie dough! You can even do an e-mail blast! We can also raise funds by being part of a “kids zone” at a large event and either charging tickets to play in the Mobile Game Theater or accepting a wristband or tickets for timed play. Depending on the arrangement, either a percentage goes back to the organization or 100% goes back, if the Mobile Game Theater has been hired in advance.

Laser Tag FAQs

QUESTION: What is XCITE Mobile Laser Tag?
We are a mobile laser tag capable of conducting an event or party on the grounds of your school, backyard, park, warehouse, gym, or any other location of your choice. Our laser tag operation retains all the skill and fun elements of paintball without the pain! We have only the highest quality laser taggers and sensors in the industry with no damage to surrounding grounds. Players will have the opportunity to engage in a variety of missions that require teamwork and skill to achieve operational game objectives.

QUESTION: Can you give me a few “Event/Birthday Party Tips”?
KIDS’ SAFETY is the most important thing to us. It is your responsibility to be sure all kids follow the rules of both xCite Mobile Gaming and your own homeowner insurance policy. We are not responsible for kids’ actions and/or lack of good judgment from kids running out into the street.
We highly recommend making your reservations with us as far out as you can if you are set on a specific date and time. If you are flexible with your date and time we usually can fit you in within 2 to 3 weeks from your desired date.

For the best field set up we recommend an area of at least 50 x 30 to 60 x 40 feet. Natural trees and bushes make great barriers. We also provide several barriers and will work with you to create the best battlefield experience for the kids.

All animals and pets should be restrained, or kept indoors, during setup and breakdown of your party. Be sure all dog stool has been cleaned up if the kids will be running around your yard.

Big TIP: Your booked time period with us starts on time as long as we arrive 15-20 minutes prior to your requested time. We highly recommend that you have pre-cleared a location for us to park in the front of the field or house that we are playing at and that you have cleared the battlefield for any hazards or other objects that would be in the way of where we are placing bunkers and the kids are running around. Unfortunately, we lose a lot of time when either cars or other objects are not cleared prior to us arriving.

QUESTION: How long does one game take?
We set the game times anywhere from 5-10 minutes. Older kids usually like longer timed games.

QUESTION: How old should the players be?
Our games are best played from age 6 and up. However, with parent participation and assistance; we will take a 5 year old party.

QUESTION: What is your cancellation policy?

QUESTION: What happens if it rains?
Our taggers can operate in light to moderate rain. In the event of heavy rain where we cannot continue with your party,  our rate will be prorated after the 1st 50% in which we must collect if we have already set up the playing field. If possible an alternative indoor venue should be available for bad weather days to avoid any charges. We are not responsible for the weather; however, the XCITE Game Coach is responsible for making a weather related play/no-play decision that protects the players and equipment.

QUESTION: What kind of surface can we play on?
A large grass field is preferred but we can set up in gyms, warehouses or concrete surfaces.

QUESTION: Do we need to sign a Liability Release Form?
Yes, however we make it easy for parents to sign just one liability release form if they agree to accept full responsibility for any accidents or damages on their own property for all players/guests they invited. Since we would not know who was invited or not that extends to any one on the homeowners property and playing our games. If the homeowner does not want to accept that responsibility then it is up to the parent/homeowner to collect a Liability Release Forms for all those guests playing and then provide us those release forms. QUESTION: What happens if my association and/or any other agency shuts my party down?
The customer is responsible for providing the playing space and has already ensured us that no State, County, Municipality, Householder Association, bylaws, etc. prohibit activities like Laser Tag. If your Laser Tag Party cannot take place for any of the former or similar reasons, payment is still due in full.

QUESTION: Can I book additional hours the day of the event?
Additional hours may be booked the day of the event if we do not have another scheduled party. It is always best to book additional hours before the event to assure enough playing time.

QUESTION: Can the laser beam from the laser hurt some one’s eyes?
No, our laser taggers use infrared, just like your TV remote control. It’s totally safe. Players shoot an invisible and harmless beam.

QUESTION: Can laser tag be played indoors as well?
Absolutely, our laser taggers have an “indoor” setting so it works well in gyms, halls, buildings, recreation centers or warehouses.

QUESTION: What should I wear to play outdoor laser tag?
A player should wear clothes that they do not mind getting dirty. All players should wear sneakers, or comfortable hiking footwear. Open toed shoes, bare feet and/or sandals are NOT allowed on the field of play. We also recommend long pants versus shorts to prevent scratches from bushes. We encourage all players to come ready to play in their camo gear!
